What to put in a construction estimate

  1. Your company: name, address, phone, email and license number.
  2. Client and job: client name, job address, estimate number and date, and how long the price is good for.
  3. Scope by section: demolition, framing, electrical, finishes and so on. Each line has a description, quantity, unit and price.
  4. Totals: subtotal, tax where it applies, and the total.
  5. Payment schedule: deposit and progress payments tied to milestones.
  6. Exclusions and notes: what isn’t included, allowances, and permit responsibility.
  7. Approval: a signature and date line for the client.

Examples

Bathroom remodel

Sections for demolition, plumbing rough-in, tile, fixtures and paint, with a 30% deposit, 40% at tile complete and 30% at the final walkthrough.

Deck build

Sections for footings, framing, decking and railings, with materials and labor on separate lines so the client sees where the money goes.

FAQ

Estimate Template: common questions

Is this estimate template really free?

Yes. Download the PDF or Excel file. There’s no sign-up and no email needed.

What’s the difference between an estimate and a proposal?

An estimate is the price and the line items. A proposal wraps the estimate with your scope, terms, exclusions and a signature so it becomes the agreement. This template has an approval line, so it can do both for simple jobs.

Should I show labor and materials separately?

It’s up to you. Some clients like the detail; others just want the total per section. The template works either way.

How long should an estimate be valid?

Many contractors use 15 to 30 days, because material prices change. The template has a “Valid until” line.

Can I add my logo?

Yes. In Excel, insert your logo in the top-left cell area. For the PDF, print it on your letterhead or edit it in any PDF editor.

Does the Excel file calculate totals?

Yes. Quantity times unit price, the subtotal, tax and total all calculate as you type.

What payment schedule should I use?

Tie payments to milestones the client can see, like a deposit at signing, a payment at rough-in and the rest at completion. Check your state’s rules on deposit limits.

Can I send estimates online instead?

Yes. LaraKey sends estimates and proposals by email or text, and clients approve and sign online.
